Communication with customers in the MICE Portal

Communicate quickly and easily with your clients in the MICE Portal.

Please note: Always use the messaging feature in the MICE Portal to communicate with customers. Do not reply to the system e-mails via Outlook. Your message will not be sent to the customer, but to the MICE Portal team.In case of questions regarding an inquiry, you have the possibility to contact a customer directly via the MICE portal. This is done in the form of e-mails, which can be written and sent within the MICE portal.

  • Via the received system email, you can directly access the customer's request.
  • Click on the green button "To the event request in the MICE portal".
  • This will take you to the request in the MICE Portal.
  • Here you will find the relevant contact details of your contact person in the top right-hand corner:

2. Send message to customer via MICE portal

Please note: If you are asked to submit an offer, confirm a booking/cancellation or extend the option period, you do this directly via the green button in the system email and not via the message function. Only in this way will your offer/confirmation/extension of the option period📄 be included in the booking process.

  • When processing a request, you can communicate directly with the customer via the respective project in the MICE portal.
  • To do this, scroll to the bottom of the request.
  • Click on the button "Send e-mail to customer".
  • A new page will open where you can compose your message and, if necessary, attach a file. Here you can express your gratitude for the request, provide additional information or ask questions.
  • Then click "Save" to send your message to the customer.

3. View message history

Our tip: Your message history can be viewed at any time and is documented in the project in an revision-proof manner.

  • To view the message history between you and your customer, go to the page described in step 2.
  • Below the message function described above, you will find the message history.
  • This gives you an overview of the messages already sent by you and your customer.
