Through the MICE Portal, you can not only request quotes from service providers, but also contact them regarding questions about offers, option deadlines, or similar concerns related to your project. You can communicate with service providers via emails that are composed and sent within the MICE Portal.
The email address stored in the account is used as the sender address.
Our tip: Your message history is always accessible to you and securely documented within the project for auditing purposes.
Please note account settings: Through the account settings (this option is available to bookers and meeting planners), email notifications about new messages/emails can be disabled.
1. Sending messages to service providers
Opening the project overview:
First, open your task.
When you scroll down, you will find your selected service providers.
Selecting a service provider:
Click on the checkbox to the left of the service provider's name to select the desired service provider.
Good to know: You can also make multiple selections here. All selected service providers will receive the same message, which is especially helpful for extending the option deadline
Then, click on the "Contact" button.
A window titled "Contact Service Provider" will open.
Select an appropriate message template and write your message.
Once you have selected and filled everything in, click "Send" to send the message.
Please note: Typically, your inquiry will be sent to the general email address of the service provider listed in the database entry.
You can change this via "Edit" and communicate with your personal contact during the course of negotiations.
2. Changing service provider email adress
- Click on the desired service provider – you will be redirected to the negotiation page.
- With 'alternative email,' you can modify your sender address.
- An 'alternative email address' will be created, which you will use for this project.
- Once you have updated the email address, all future communication will be sent to this address.
3. Selecting message template
- To simplify communication, templates for the most common reasons are already available. These can easily be selected via the dropdown menu.
Select message template – a dropdown field with several message templates will appear.
- From there, you can choose the appropriate message template and, if desired, leave a personal comment for the service provider using the 'Message' field.
- At the end of the message, you can also add a PDF attachment (e.g., for sending the schedule).
- Once you have selected everything, click "Send".
