Conference packages - pricing of partial services

When quoting prices for conference packages, it is necessary for tax reasons that the service provider lists the price for each of the included partial services individually.

A conference package includes#pricing the necessary conference services, or partial services, in one package. As a rule, these are the following services: 

  • Room rental (for the conference room)
  • Technical equipment (screen, beamer and flipchart)
  • Hospitality package (business lunch, usually unlimited water and 2 soft drinks in the room)
  • Other conference costs (2 coffee breaks, in the morning and afternoon, mostly unlimited water and 2 soft drinks in the room)

Current legislation: The amendment of the business tax laws is accompanied by the obligation to tax the services included in conference packages individually. In order to comply with this legislation, the flat rate is not only presented as a total price in the MICE Portal, but the partial services can be presented individually, priced and thus also taxed separately by the booking party's company.

1. Types and rates of taxation of partial services


According to tax law, conference packages include various services that are subject to different tax rates.

  • Room rental is subject to business tax.
  • Entertainment costs are recognized as expenses only up to 70%.
  • Meals during the break are subject to imputed income tax.

2. Taxation of the partial services


The taxation of service providers based in the Federal Republic of Germany, is subject to the current statutory value added tax (VAT) at 19%. Service providers from other countries must exchange their currently valid tax with the already deposited 19%. 

Please note: If there are different tax rates within a flat rate, for example due to the Corona location, you are welcome to indicate these when invoicing.

3. Pricing of the partial service


The quotation creation of a lump sum with partial services works as follows:
  • Click on "Create quote".
  • Enter the gross prices for the partial services of the lump sum in the fields.

If the prices are entered correctly click on "next".


3.1 Example of pricing for a partial service

Pricing of a daily flat rate in the amount of 59.00 euros per person in partial services:

  • Room rental: (gross) 10.00 euros/person
  • Technical equipment: (gross) 2.00 euros/person
  • Hospitality flat rate: (gross) 28.00 euros/person
  • Other conference costs: (gross) 19.00 euros/person

Please note: At the end of the bid submission, the pricing should be checked.
The entry is correct if the sum of the individual partial services results in the total price of the lump sum.

4. Transfer and check of the pricing


The entered prices are now transferred to the mask and can be checked.

  • Final review: Make a final review of the offer.
  • If the offer is created correctly, click on "Create offer".

Congratulations, you have now successfully placed the offer in the MICE portal!
