Split booking in MICE Portal

The split booking function is especially useful for large events with many participants, allowing them to be distributed across various hotels or service providers.

When planning large events, insufficient hotel capacities can be a challenge, particularly concerning the number of available rooms. Therefore, the MICE Portal offers the option to configure a request in such a way that a service provider can specify not only the price of a service but also the available quantity. This process is referred to as split booking.


1. The following services can be requested as split bookings:


  • Accommodations/Breakfast
  • Conference services
  • Other services, e.g., dinner

    Upon receiving a split booking request, you must adjust the quantity and price of each service you can offer in your proposal. The customer can decide, after receiving all offers, which quantities of specific services they want to book.

    Our tip: Services that can be split are marked with thepng-transparent-pie-chart-computer-icons-circle-green-circle-blue-angle-orange and can be offered in any quantity up to the maximum requested sum.

     

    2. Split booking handling

    If you receive a split booking request, follow these steps: 

    • Open the event request via the link in the email.
    • Select individual services to indicate which services you can offer to the customer.

    Note: All other services (without the icon) can be offered either in full or not at all.

    • In the next step, you can create an offer by clicking "Submit Offer" at the bottom right.
    • Adjust your services as desired for a specific number of guests and enter the amount per person in the "Unit Price (Gross)" column.

    Offer deadlines: You can set an option deadline for your offer. The customer can accept or decline your submitted offer until this date.

    Cancellation conditions: You can set a deadline allowing the customer to cancel the event free of charge until the chosen date. If you do not want to offer free cancellation, enter "0" days and provide the cancellation conditions in the free-text field accordingly.

    Note: Statements like "Our conditions/terms and conditions apply" are not permissible. It must be clear what the conditions are, as the closed contract is binding for both parties.


    3. Sending the offer to the customer

    • Enter your contact information in the contact field.
    • Click "Continue" to review all the data in your offer overview.
    • Click "Create Offer" at the bottom right to forward your offer to the customer.
    • The customer has now received your split booking offer and can accept or decline it.
