User Groups and Vacation Cover in the MICE Portal

Your MICE Portal offers you the possibility to work on your event projects as a team and set up vacation cover.

 

1. Working in a User Group in the MICE Portal

If you want to work on your MICE Portal projects as a team, a user account must be set up for this group. All members of this user group will then have mutual access to all MICE Portal projects of this group.

Creating user groups must be requested from the MICE Portal support team to ensure that all group members agree.

Examples of user groups:

  • You work as an event team on projects in a team
  • You plan seminar series as a commissioned team
  • You want to set up a vacation cover

Requesting a user group:

  • Write an email to: info@miceportal.com requesting to create a user group
  • All members of the user group must be CCed in the email for privacy reasons.

Note: All members of the user group can edit all projects within the group in the MICE Portal, as well as conclude and cancel reservation contracts.

Note: You can also add or remove members from your user group at a later date.To do this, write an email to info@miceportal.com as described above.

 

2. Set up a vacation replacement


In your personal settings, you can nominate a vacation replacement during your absence. This colleague will receive all notifications for all projects during your vacation and can book, make changes and cancel.

Note: A prerequisite for your vacation replacement is that you are in the same user group as the colleague in question. (see point 1)

How to set up a vacation replacement:

  • Open personal settings ( top left above your name)
  • Scroll all the way down
  • Name vacation replacement
  • Save

3. Delegation of individual projects

With delegation, you assign individual projects to a colleague as an editor. This person is then also displayed as the contact person and receives full editing rights.


You must also be in the same user group for this.

Our tip: As the new editor receives full editing rights, this procedure is recommended, for example, for projects that have not yet been booked or if you know that changes still need to be made during your absence.

Procedure:

  • Log in to the portal
  • Select the relevant project above the project overview
  • Click on the “Delegate” button at the top under the master data
  • Select the new editor

Please note: If the project is delegated, you may no longer see it in your project overview and will no longer be able to edit it. Have the project delegated back to you when you return.
